Printshop & Office Assistant

The Print Shop & Office Assistant is responsible for the prompt and accurate fulfilment of all supply and printshop orders, operates copy equipment to produce printed material, and is also responsible for assisting in the maintenance and operation of all equipment. This position must also maintain professional communication among all team members and assist the team organize daily operations to meet deadlines of all customers.

 

Responsibilities

  • Receive and process customer orders through various channels such as phone, email, or online platforms.
  • Verify order accuracy, ensuring all required information is captured, including product details, quantities, pricing, discounts, and shipping information.
  • Communicate with customers to resolve any order discrepancies, address inquiries, and provide order updates throughout the process.
  • Collaborate with internal and external teams, including sales, production, and logistics, to ensure smooth order fulfilment and timely delivery.
  • Maintain accurate and up-to-date records of customer interactions, order details, and any special requirements or instructions.
  • Coordinate with vendors and suppliers to ensure the availability of products, resolve delivery issues, and provide accurate lead times to customers.
  • Process returns, exchanges, and cancellations promptly, ensuring all necessary documentation and approvals are obtained.
  • Assist in managing inventory levels by monitoring product availability, coordinating with the warehouse team, and making appropriate adjustments in the system.
  • Continuously strive to improve customer satisfaction by identifying areas for improvement in the order process and proposing solutions.
  • Stay up to date with product knowledge, pricing, promotions, and company policies to provide accurate information to customers and address inquiries effectively.
  • Preparing/packaging and shipping completed jobs.
  • Perform general administrative tasks, such as answering and directing phone calls, handling email, files, etc.
  • Maintain an orderly work area.
  • Maintain trusting relationships with suppliers, customers, and colleagues.
  • Assist in any ad-hoc duties, projects, and activities as and when required.
  • Provide printshop assistance including
    • Layout and manipulate various projects based on the customer’s needs.
    • Understand, work and prepare different file types: Bitmap vs. Vector, JPG, PNG, EPS, PDF, etc.
    • Preparing files for print production; checking fonts, links and colors, and imposing art when required.
    • Responsible for the use of digital copiers/presses to setup and produce customer jobs.
    • Operate copiers/printers and finish materials.
    • Includes cutting flyers/business cards, processing mailers, binding books, folding brochures, padding notepads, etc.

  • Ability to troubleshoot for maintenance of print shop equipment.

Required Qualifications

  • High school diploma or equivalent; additional education or certification in customer service or related field is preferred.
  • Previous experience in a customer service role, preferably in a customer order processing or related position.
  • Demonstrated knowledge of order processing procedures and best practices.
  • Strong problem-solving and conflict-resolution skills.
  • Ability to work in a team-oriented environment and collaborate effectively with cross-functional teams.
  • Must be detail-oriented and possess excellent organizational skills.
  • Proficient in using Microsoft Office Suite and other relevant software applications.
  • Excellent verbal and written communication skills, with a professional and customer-focused approach.

Work Environment/Physical Requirements:

  • Work in an office environment.
  • Work 8 hours per day (M-F)
  • Occasional overtime work may be required.
